An AI agent for business is a program that does a repetitive job in your business on its own: it reads your email, enters orders into the ERP, chases payments, prepares quotes or follows up with customers. It works with the tools you already use and only asks your permission for what matters. What an AI agent does in a business

An agent doesn't wait for you to ask, like a chat does. It has its own task, its own schedule and its own limits, and it works on its own:

  • Email and customer service: it reads what comes in, separates what matters from the marketing, drafts the reply and shows it to you before sending.
  • Orders: it reads orders that arrive by email (including attached PDFs and Excel files), recognises the customer and the items, and leaves the order ready in your ERP so you only have to approve it.
  • Invoices and payments: it sorts supplier invoices, reconciles bank transactions and flags late payments.
  • Sales: it finds companies that are a good fit, writes the first email and the follow-ups, and lets you know when someone replies.
  • Calendar: it suggests free slots, books meetings and reminds you of what can't wait.
  • Reports: every morning it tells you how the numbers look and which decisions are waiting for you.

Agent, chatbot or assistant: the difference

  • A chatbot answers questions when someone writes to it. If nobody asks, it does nothing.
  • An AI assistant (ChatGPT, Copilot…) helps you when you ask it to.
  • An AI agent does a whole job on its own: it decides the next step, uses your software (email, CRM, ERP, calendar) and only checks with you on what you decide it should check.

You decide what it does alone and what it asks you

Each agent works within written limits. For example, it can send a follow-up to a customer who hasn't replied, but it asks you before answering one who has; it can record a €30 expense, but a €300 one needs your sign-off. Anything sensitive reaches your phone (WhatsApp, Telegram, Teams or Slack) with a button to approve or reject it. Everything is logged.

A real case: our own company

balderas.studio runs on the same system we sell. Each department is an agent with its own chat:

  • Sales finds companies, writes the first email and two follow-ups. Emails to anyone who has already replied are approved by us.
  • Marketing writes this blog, tracks the website and handles the contact form.
  • Finance categorises the bank transactions and prepares the quarter. It never pays anything.
  • Management sends a summary every morning at 8:00.

We use it every day from our phones. It's the best proof that it works.

What tools it connects to

Almost everything you already have: email (Gmail, Outlook, Microsoft 365), calendar, CRM, ERP, invoicing software, online shop (Shopify, Amazon, WooCommerce), spreadsheets and the bank through its statements. If a program has an API or lets you export its data, it can be connected. Agents can also connect to Claude via MCP, so you can ask them things or look up your data from there (this is how we do it).

How much an AI agent costs

Launch prices, excl. VAT:

  • Starter agent, for one specific process (email, orders, invoices or sales follow-up): from €990 setup and €149/month.
  • Team of agents, for several departments connected to your CRM or ERP: from €2,900 and €290/month.
  • Personal assistant, for your email, calendar and reminders: from €190 and €39/month.

The monthly fee covers the server, AI usage, maintenance, adjustments and a report of the hours it has saved you. After a free first conversation you get a fixed written quote. More detail in how much AI automation costs.

FAQ

Do I need to know about AI or programming? No. Your agent writes to you by chat and you reply in plain language.

Is my data safe? Each agent only sees what it needs for its task. We use the business version of the AI, which doesn't learn from your data.

Do you work outside Valencia? Yes. We're based in the Valencia region and work remotely with businesses all over Spain.

What if the agent gets something wrong? It works within limits, asks your permission for what matters and everything is logged so it can be corrected.
