AI for accounting firms and gestorías

AI agents for accounting firms and gestorías: they receive and sort each client's paperwork, record invoices and chase what's missing before the quarter ends.

AI for accounting firms and gestorías (accounting and tax agencies) is mostly about what takes the most time day to day: receiving each client's paperwork, sorting it, recording invoices and chasing what's missing before each close. At balderas.studio we set up AI agents that do this work on their own, connected to your email and your accounting software, and that ask for your approval on anything sensitive. From €990 setup and €149/month.

What an agent can do in an accounting firm

  • Receive and organise paperwork: it reads what arrives by email (invoices, payslips, contracts, official notices), works out which client it belongs to and saves it in their folder with a clear name.
  • Record invoices: it extracts the supplier, date, net amount, VAT and withholdings from each invoice, whether PDF or photo, and leaves the entry ready to review.
  • Chase what's missing: before each quarter it checks which clients haven't sent their paperwork and writes them a reminder, in your firm's tone.
  • Payroll changes: it gathers the new hires, leavers, overtime and sick leave that clients send by email and organises them by client before the close.
  • Answer frequently asked questions: deadlines, paperwork required or the status of a filing. The agent drafts the reply and an adviser approves it.
  • Alerts and deadlines: it reminds you of each client's deadlines and what's outstanding, so nothing slips past its date.

Why it makes sense for an accounting firm

An accounting firm's work is high-volume with clear rules: every client sends similar documents every month, each quarter has its dates, and a large share of the time goes on receiving, organising and chasing paperwork. That's exactly the kind of work where an agent saves the most hours, freeing your team for advisory work, which is what clients value and pay for.

You still sign off

The agent doesn't file taxes or send anything to a client outside the rules you set. It can send a paperwork reminder on its own, but a reply about a tax matter is drafted for an adviser to review. Anything sensitive reaches your phone with a button to approve or reject it, and everything is logged.

It connects to what you already use

Your firm's email (Outlook, Microsoft 365, Gmail), shared folders, spreadsheets, and any accounting and practice management software that lets you import or export data. In the first call we go through the software you use and what can be connected.

How much it costs

Launch prices, excl. VAT:

  • One process (for example, receiving and sorting paperwork, or reminders before the quarter): from €990 setup and €149/month.
  • Several processes connected to your practice management software, with reports: from €2,900 and €290/month.

If someone spends 20 hours a month organising paperwork and chasing clients, at €20 an hour that's €400 a month: the agent pays for itself. Work out your own case with the hours calculator.

FAQ

Is my clients' data protected? Each agent only accesses what it needs for its task, and we use the business version of the AI, which doesn't learn from your data.

Does it replace my team? No. It takes the repetitive work off their hands (receiving, organising, chasing) so they can spend their time advising.

How long does it take to set up? A first process takes two to four weeks, starting with approval required for everything.
