AI for engineering firms: site reports, permits and certifications
An AI agent writes your site visit reports in your template, chases the paperwork for permits and installation certifications, and keeps track of action items. The engineer reviews and signs.
AI for engineering firms is mainly about giving engineers their hours back: an AI agent writes up site visit reports from what is dictated on site, prepares client reports and progress valuations, and chases the paperwork for permits and installation certifications until it is complete. The engineer reviews and signs. At balderas.studio we build these agents to order, from €990 to set up and €149/month.

What an agent can do in an engineering firm
- Site visit reports: from the engineer's voice note or notes and the photos, it writes the report in your template: attendees, progress, observations, agreements and deadlines.
- Client reports: it pulls the month's site reports, progress and issues together in the format you already use.
- Progress valuations and measurements: it drafts them from your measurement sheets and flags anything that doesn't add up.
- Activity permits and responsible declarations: it asks the client for the documents, checks them and drafts the technical report from your past projects.
- Installation certifications: it gathers each installer's certificates and flags what's missing.
- Council requests and deadlines: it reads what each council asks for, drafts the reply and warns you before the deadline.
- Action items that don't get lost: it picks out every task from reports and emails, with an owner and a date, and follows them up without anyone asking.
Permits and certifications, without chasing paperwork
With a permit or a certification, the hours don't go on writing: they go on waiting and chasing. The floor plan that never arrives, the installer's certificate, the lease for the premises. The agent keeps a checklist for each file, asks the right person for what's missing, checks that what comes in is what's needed and shows you the file ready to sign.

You decide what it does on its own
The agent prepares, requests and follows up on its own, but anything an engineer signs (a site report, a technical report, a certificate) is always reviewed and signed by them. Anything going out, to the client or to the council, comes to your phone for approval until you decide otherwise. Everything is logged: what it read, what it wrote and where each piece of data came from.
It connects to what you already use
Your email, your Word templates, your measurement spreadsheets in Excel and your project folder (Google Drive, OneDrive or a server). Estimating or calculation software works too, as long as it exports to Excel or PDF. We go through it on the first call.
How much it costs
Launch prices, excl. VAT:
- One process (for example, site reports or activity permits): from €990 to set up and €149/month.
- Several processes (site reports, client reports, permits and action items): from €2,900 and €290/month.
If an engineer gets back 5 hours a week, that's around 20 hours a month: at €35-40 an hour, between €700 and €800 a month per engineer. It's an estimate, not a promise: work out your own case with the hours calculator.
Frequently asked questions
Does it replace the engineer? No. It takes the writing-up and the paper-chasing off their plate so they can spend their time on sites and projects.
Does it work with our report template? Yes, we use the one you already have. That's why we ask for one of your reports on the first call.
What if the voice note is unclear or something is missing? The agent doesn't make it up: it flags what's missing and asks you.
Does it submit anything on the engineer's behalf? No. It prepares the documents; signing and submitting stays with the engineer.
How long does it take? A first process takes 2 to 4 weeks.
